1. General information
The protection of your privacy is of the utmost importance to CAMALOT BELGIË BVBA (hereinafter "CAMALOT", "we", "us" or "our"). We want to inform you as clearly as possible, respect your rights and enable you to monitor what happens to your personal data, in accordance with the General Data Protection Regulation (Regulation (EU) 2016/679 of 27 April 2016, hereinafter the "GDPR") and the Belgian Act of 30 July 2018 on the protection of natural persons with regard to the processing of personal data.
This Privacy Policy (the "Privacy Policy" or the "Policy") informs you about the way we collect and use your personal data, and about the means available to you to control this use.
This Policy applies to the data we collect and process in connection with our services, as well as through our website https://camalotbelgie.be.
2. Who is responsible for your data
The controller responsible for the processing of your personal data is:
CAMALOT BELGIË BVBA
Leuvensesteenweg 248Fb, 1800 Vilvoorde, Belgium
Company registration number (KBO/CBE): 0675.582.333
Website: https://camalotbelgie.be
Telephone: +32 2 251 18 80
E-mail: info@camalotbelgie.be
(Please verify the above contact details and update them where necessary to reflect the branch's current information.)
3. On what legal basis do we process your personal data
We collect and process your personal data on the basis of one or more of the following legal grounds:
the performance of the contract we have concluded with you;
your consent, in particular with regard to our commercial communications or requests you make online or by e-mail;
compliance with a legal obligation, in particular in tax matters;
our legitimate interest as a business, including the follow-up of your file, fraud management and prevention, ensuring the efficiency of our services, complying with our legal obligations, improving our services, and protecting CAMALOT's commercial, financial and economic interests.
Where processing is not necessary for the performance of a contract and is not based on your consent, we rely on our legitimate interest, in which case we always take care to preserve a balance between that interest and respect for your private life.
4. What personal data do we process
CAMALOT processes your personal data because you use our services and/or because you have provided this data to us yourself. To perform the contract you conclude with us, we need the following data.
4.1 Name and address details
Your name is stored because we would rather not address you by client number alone. We need your address and place of residence to, among other things, prepare invoices, contact you and, where applicable, deliver goods to you.
4.2 Company information
Keeping personal and business matters separate is convenient for everyone. That is why we ask for your company name and registered address whenever you hire something from us or take up a service. We may also ask for your company registration number and/or VAT number for verification purposes, and we will store this information as well. If you act on behalf of a company or client, we will link your name to the relevant company information.
4.3 E-mail address
We store your e-mail address so that we can send you messages about your project. Your e-mail address may also be used to keep you up to date on the latest developments by means of newsletters. You always have the option of unsubscribing from these at any time.
4.4 Telephone number
We use your telephone number to contact you and keep you up to date on your project. It is sometimes easier to call you than to send e-mails.
4.5 Client number
When you hire equipment or a service from us, we internally create a unique client number which we link to your client data.
4.6 Payment information
We store your payment information – among other things your credit card details, account number and name of the account holder – once we have concluded a business agreement with you. For orders, we use both a unique client number and an invoice number, linked to your client data. This may also include information about your creditworthiness, which we may check to prevent you from entering into commitments you cannot afford financially.
4.7 Navigation data
When you browse our website, we may process the following data: your IP address, the type and language of your browser, the operating system and type of device you use, the length of your visit, the internet address from which you access our website, the pages you visit and the links you click on. Legal basis: legitimate interest.
4.8 Data provided via the contact form
When you complete our contact form on the website, we process the data you provide us with. This data is sent to us via an encrypted connection and handled by our staff according to the purpose of your request, and is stored and processed only to the extent necessary to respond to your request. Completing this form does not result in you receiving advertising or being automatically subscribed to our newsletter. Legal basis: legitimate interest.
4.9 Data obtained from third parties
For marketing purposes, we may purchase marketing data and company contact information from external parties that specialise in providing such data.
5. Other data that we process
5.1 Website visits & cookies
We use Google Analytics to keep track of visitor statistics and have placed cookies for this purpose. All of these statistics are anonymised in order to safeguard your privacy. We have concluded a data processing agreement with Google for this purpose and have disabled certain parts of this data processing. Data is also not shared with other Google services in combination with the Analytics cookies.
5.2 CCTV footage
Security cameras have been installed around the building, primarily to secure our property. We also use the camera footage to trace goods within the building. It is possible that you will be filmed when entering our building. We do not, however, link this footage to the client data described above. The cameras do not record audio. We store the camera footage locally on our server and retain it for 6 months.
5.3 Job application data
When you apply to work at our company, we naturally want to know what you are capable of. We verify this on the basis of your CV, cover letter, portfolio or any submitted test assignment. If you are not hired, we will delete your personal data within 3 months.
5.4 Server logs
If you use our services, we store data relating to your connection to our servers in so-called server logs. This may include your IP address, browser version and the time of your visit. This data is anonymous and is not linked to your personal data. We use these logs to fix errors in our systems and to detect persons who may endanger our network, so that we can take appropriate measures.
6. Special and/or sensitive personal data
Our website and/or services are not intended to collect data from visitors who are 16 years of age or younger, unless we have the consent of their parents or legal guardian. We are, however, unable to verify whether a visitor is older than 16. We therefore advise parents to be involved in their children's online activities, in order to prevent data being collected about them without parental consent. If you believe that we have collected a minor's personal data without such consent, please contact us at info@camalotbelgie.be and we will delete this information.
7. Automated decision-making
CAMALOT does not make automated decisions – based on profiling or otherwise – that may have legal consequences for you or otherwise significantly affect you, except:
where this is necessary for the conclusion or performance of your contract (for example, a creditworthiness check or the termination of our services in the event of non-payment);
where this is permitted by law (for example, to detect tax fraud); or
where you have given us your express permission to do so.
In these cases, you will be informed in advance of the automated decision, your right to request human intervention, and how you can challenge the decision.
8. For what purposes do we use your personal data
We always limit ourselves to processing only the data that is essential for the intended purpose. In practical terms, we use your personal data, among other things:
to inform you when you visit our website or subscribe to our newsletter;
to deliver our services and perform our contract with you;
to improve our services and better tailor them to your needs;
to inform you about our (new) products or special offers, including up to a maximum of 2 years after the end of our relationship, unless you object;
to establish your identity and prevent identity fraud when you become a customer (for example, using a copy of your identity card);
to check your creditworthiness and prevent unpaid invoices;
to evaluate our performance, including through customer feedback, market research or customer interactions;
to comply with our legal obligations, in particular in tax matters;
for internal and external reporting based on anonymised and aggregated data.
Regarding data collected via the website, it may be used to personalise your experience, improve our website and customer service, and send you periodic e-mails, including newsletters if you have explicitly subscribed to them.
9. How long do we retain your personal data
CAMALOT does not retain your personal data for any longer than is necessary to achieve the purposes for which the data was collected, or for as long as we have a legal obligation to do so. In practice, we apply, among others, the following retention periods:
Correspondence with our customer service: up to 30 days (this period may be longer where necessary, for example in connection with a complaint);
Billing data: up to 7 years, in accordance with our accounting and tax obligations;
Camera footage: 6 months;
Application data of unsuccessful candidates: 3 months;
Data of former customers for direct marketing purposes: up to 2 years after the end of the customer relationship, unless you object.
After the applicable retention period has expired, your personal data will be deleted or anonymised. Where statutory retention periods require it, we will in the meantime restrict the processing of your data to what is necessary to comply with that obligation.
10. Do we sell or transfer your data to third parties
CAMALOT does not sell your personal data to third parties and only provides it where this is necessary for the performance of our contract with you or to comply with our legal obligations. This may, for example, be the case in relation to:
the exchange of data between companies of the CAMALOT group, such as the company established in the Netherlands;
the use of trusted third parties who assist us in operating our website or providing our services (for example, sales agents, independent technicians or external customer service staff), whereby your data is only transmitted for the purposes for which CAMALOT itself processes it, and is limited to what these third parties need to perform their task;
a legal obligation to do so;
a legitimate interest of CAMALOT or the third party concerned, provided your interests or fundamental rights and freedoms do not prevail (for example, disclosure to credit controllers, debt collection agencies or legal service providers);
your express consent.
We conclude a data processing agreement with the parties that process personal data on our behalf, ensuring the same level of protection of your personal data. CAMALOT remains responsible for this processing. Where a processor in turn wishes to engage a sub-processor, this only happens with CAMALOT's prior written consent and under the same data protection obligations.
Insofar as personal data are processed outside the European Union, including in the case of transfers to companies of the CAMALOT group, we ensure, by contractual or other appropriate measures, a level of protection comparable to that within the European Union, in accordance with applicable European regulations.
11. Automated processing and opt-out for direct marketing
If you do not wish to receive any form of commercial communication, you always have the right to object, without giving reasons, to the use of your personal data for direct marketing purposes. You can do this by:
sending an e-mail to info@camalotbelgie.be;
using the unsubscribe link at the bottom of our e-mails or newsletters;
updating your preferences via the "update your preferences" link at the bottom of our newsletter.
This objection does not affect our right to contact you electronically in connection with the performance of your contract or where we are legally required to do so. If you unsubscribe from the newsletter, you may also no longer receive e-mails about events such as, for example, the Christmas party or showcases.
12. Cookies and similar technologies
CAMALOT only uses technical and functional cookies, as well as analytical cookies that do not compromise your privacy. A cookie is a small text file that is stored on your computer, tablet or smartphone the first time you visit this website. The cookies we use are necessary for the technical operation of the website and for your convenience as a user. Thanks to cookies, the website functions properly and your preferences are remembered; we may also use them to optimise our website.
You can disable cookies via your internet browser settings, so that your computer no longer stores them. In addition, you can also delete all previously stored information via your browser settings.
13. How do we protect your personal data
CAMALOT attaches great importance to the protection of your personal data and takes appropriate measures to prevent and combat unauthorised access, undesired disclosure and unauthorised alteration. Among other things, the following measures are taken:
logical access control to our own equipment, using strong passwords;
encryption of digital files containing personal data;
organisational measures to secure access;
security of network connections via SSL or TLS technology – your data is always sent via a secure internet connection;
security software, such as a virus scanner and firewall, as well as intrusion and anomaly detection;
DNSSEC to secure the resolution of the domain name to the linked IP address, using a digital signature;
restricting access to your personal data to employees/subcontractors who need this information to carry out their tasks, and who are trained in the proper handling of confidential data.
Your data is stored on computer servers located at our head office. If you have reason to believe that your personal data is not adequately secured or there are indications of misuse, please contact us immediately.
14. What are your privacy rights and how can you exercise them
The overview below explains your rights. These rights are not absolute and are each subject to certain exceptions or conditions. We will only grant your request to the extent that we are permitted and required to do so under applicable data protection law.
Right to be informed: you have the right to receive clear, transparent and easily understandable information about how we use your data and about your rights – this Privacy Policy serves that purpose.
Right of access: you have the right to obtain a copy of the data we process about you, as well as certain additional information about this. We may refuse to provide information where doing so would reveal personal data about another person or would otherwise negatively affect that person's rights.
Right to rectification: you can ask us to take reasonable steps to correct your personal data if it is inaccurate or incomplete.
Right to erasure (the "right to be forgotten"): you can request the deletion of your data where there is no compelling reason for us to continue using it, or where its use is unlawful. This is not an absolute right; exceptions apply, for example where we need your data to defend a legal claim.
Right to restriction of processing: you can ask us to restrict the further use of your data, for example while we assess a request for rectification, or as an alternative to erasure.
Right to data portability: you have the right to obtain and reuse certain personal data for your own purposes.
Right to object: you have the right to object, on grounds relating to your particular situation, to certain processing based on our legitimate interest. We may continue the processing if we can demonstrate compelling legitimate grounds that override your interests, rights and freedoms, or if this is necessary for the establishment, exercise or defence of legal claims.
14.1 How can you exercise your rights
You can send us an e-mail at info@camalotbelgie.be or contact us by phone at +32 2 251 18 80. In order to exercise your right of access and to avoid any unlawful disclosure of your personal data, we need to verify your identity; in case of doubt or ambiguity, we will ask you to provide additional information, preferably a copy of the front of your identity card.
You may exercise your rights free of charge in principle, unless your request is manifestly unfounded or excessive, in particular because of its repetitive nature. In that case, we have the right to charge a reasonable fee (taking into account administrative costs) or to refuse to act on your request.
If you submit your request electronically, we will provide the information electronically as well, unless you indicate otherwise. In any case, we will respond in a concise, transparent, comprehensible and easily accessible manner.
We aim to respond as quickly as possible, and in principle within one month of receiving your request. Depending on the complexity and number of requests, this period may be extended by two months; in that case, we will inform you of this within one month of receiving your request.
15. Complaints – supervisory authority
If you have a complaint about how CAMALOT processes your personal data, you can always contact us at info@camalotbelgie.be. In our reply, we will always inform you of the possibility of lodging a complaint with the supervisory authority and of appealing to the courts.
You also have the right to lodge a complaint with the competent supervisory authority, namely the Belgian Data Protection Authority (DPA):

We will inform you in advance of any material changes via our website or other customary communication channels and, where required by law, we will seek your prior consent for new processing activities.
In the event of any conflict, our general terms and conditions and the specific terms applicable to particular CAMALOT services take precedence over this Privacy Policy.
